It seems like there’s always way more to do, than there is time in the day. And we find ourselves running around like a chicken without ahead, trying to accomplish it all. Well I am here to help. I have 20 tips to help you become more productive. And while I can’t promise you that you will actually get every single thing done on your to-do-list, I can promise you that, with these tips, you can become a “Super Productive Person” and get way more done each day than you ever have.
- Decide and make a commitment – You must first decide that you want to become a Super Productive Person and then make the commitment to continually take actions to help you accomplish this.
- Have a dedicated space to get your work done. This will not only program your mind that it is time to work when there, but it will give you a place to keep your work.
- Get organized –Have an organized desk. And keep items in their dedicated folders and spaces when not in use. Trying to locate items for a current project becomes time consuming and can eat up precious time that you could be using for more important things.
- Have the right tools- What tools do you need to get the job done. Some of the things you might need are pens, highlighters, a calculator and folders. Not only do you want to make sure you have these available, but also make sure you purchase the ones that fit you. There are many types of folders to fit many types of businesses/projects. Pick the ones that work best for you.
- Get motivated from your tools- I like to have office supplies that are pretty. And ones with inspirational quotes on them. I don’t know what it is, but pretty offices supplies definitely motivate me to work! 😉 A couple of examples of these are; pens in pretty colors and a calendar with an inspirational quote for each month. A gold stapler, pink clipboard and a pretty paper weight are a few more examples.
- Have them at hand. Not only do you want to have the right tools but you want to have them at hand while working. Will you need a highlighter, posit it notes, white out? Have it all ready to go on your desk before hand, so you are not taking precious time pulling these things out while trying to focus on the task at hand.
- Plan your day the night before. By planning the night before you can get a great jump start on your day by already being prepared.
- Break it down – Break down any big projects into smaller more do-able chunks. This helps keep you from becoming over whelmed by the project at hand and it creates a plan of attack.
- Stop multi-tasking – It is a proven fact that multi-tasking is actually very counter-productive. When you brain is continually switching back and forth, it becomes strained from having to constantly refocus on items. And not only does your brain become strained but all that refocusing takes up valuable time.
- Utilize time blocking. This is where you carveout blocks of time (suggestively 60-90min per) in your day. Then you fill those blocks with items that need to be accomplished. Once you are in that time frame you only work on what is prioritized for that block of time. This helps you to completely focus on that one single item and really give it your all.
- Set your goals and prioritize them – Identify what items need to be done and prioritize them in order of importance. This will help you to focus on the important tasks and put aside less necessary items until you have the extra time.
- Eat that frog – Start your day with one of your most important and most despised tasks. If you put this task at the end of your day, you could find your motivation hindered from pondering about the detested task that is upcoming.
- Keep away from distractions – Put your cell phone and tablet away. If background noise is distracting, get rid of it. Have a do not disturb sign up.
- Take regular breaks – Every 60-90 minutes take a 15 minute break. This helps your brain from becoming fatigued, helps create work happiness and stimulates creativity.
- Have a plan – When you have a meeting make sure to have a plan going in. What is the agenda? Any questions that need to be resolved? What information do you need to hit on? By having a plan, not only will you be prepared but it will also help you keep the meeting from straying from the intended agenda.
- Set deadlines – Having deadlines keeps you accountable to getting the work done.
- Say no to the unimportant –If you are like me you try to handle everything yourself. But f you have a lot on your plate it becomes necessary to say no to the unimportant tasks. Delegate smaller unimportant items to other employees.
- Evaluate your performance and adjust daily to improve your techniques and methods.
- Reward yourself – Even the smallest rewards can help keep you motivated to accomplish your tasks.
- Believe in yourself – Know and believe that if you truly want to become more productive, You Can!
